When composing an email message, you might see some symbols within your text. These are actually formatting marks, such as dots (for spaces) or arrows (for tab characters) in Outlook. Formatting marks assist with text layout. They do not appear on a printed message.

When you turn formatting marks on or off, your choice remains in effect for all subsequent messages you compose, reply to, or forward.

To turn formatting marks on or off, do the following:

  • In the message window, on the Format Text tab, in the Paragraph group, click the button that looks like a paragraph mark. (When you point your mouse at the button, the tooltip says Show/Hide ¶).

    Keyboard shortcut     CTRL+SHIFT+*. (You must use the asterisk on the 8 key.)

You can customize which formatting marks are shown in Outlook by opening a new email message. 

  1. From a new email message, select File > Options > Mail > Editor Options > Display.

  2. Check or uncheck the formatting marks you want to see on the screen.

    Note: The options you select here will persist for all new email messages you create in Outlook, any replies or forwards you compose, and any text you type in the body of appointments, meetings, events, contact cards, and tasks. 

You can find all the tab stop types by clicking the tab selector in the corner between the horizontal and vertical rulers. When the tab stop that you want appears, click the location on the ruler where you want to place the tab stop.

Which type of tab stop should you use?

A left tab stop sets the start position of text that will run to the right as you type.

A center tab stop sets the position at the middle of the text. The text centers on this position as you type.

A right tab stop sets the right end of the text. As you type, the text moves to the left.

A decimal tab stop aligns numbers around a decimal point. Independent of the number of digits, the decimal point remains in the same position. (You can align numbers around a decimal character only. You can't use the decimal tab to align numbers around a different character, such as a hyphen or an ampersand symbol.)

Double-click the horizontal ruler where you want the tab stop, and the Tabs dialog box opens. Here, you can set a tab stop by using specific measurements, and you can add leaders before a tab stop.

  • Tab stops are used to allow users to align text at a specific location in a document.
  • A Tab stop defines length of Indent used at beginning of a line or paragraph.
  • Pressing the Tab key (on the keyboard) will move the cursor to the next tab stop (which itself is invisible).

Types of Tab Stops

  • Left Tab – text is aligned to the left of the tab stop.
  • Center Tab – text is centered in the middle of the tab stop.
  • Right Tab – text is aligned to the right of the tab stop.
  • Decimal Tab – numbers are aligned by their decimal points.
  • Bar Tab – inserts a vertical line (bar) into a line of text.

The tab selector (tab indicator) – a small button located in the left corner of the horizontal ruler that supplies the user with a variety of tab marker (tab stop) options (left, right, center, etc.).

Insert a tab stop

Method 1

  1. Select the paragraphs / sentences you wish to set tab.
  2. Click the Tab Selector until it displays the type of tab stop you wish to use.
  3. Click on the lower edge of the horizontal ruler at the exact spot where you wish the tab to set. (If you don’t see the ruler at the top of the Word window, click View, then Ruler to display it.)
  4. Click to place the insertion point in front of the text where you wish to insert the tab.
  5. Press the Tab key on the keyboard.

Method 2

  1. Select the paragraphs / sentences you wish to set tab.
  2. Click the Paragraph dialog box launcher and select the Tabs.
  3. In the “Tab stop position” box, enter the measurement (such as 4”) on the horizontal ruler where you wish the tab to appear.
  4. Under “Alignment”, select a tab stop type (such as Left, Center, Right, Decimal, etc.).
  5. Click OK.

Remove Tab Stops

  1. Select the paragraphs you wish to remove the tab.
  2. Drag the tab stop marker off the horizontal ruler.

  3. Click to select the Tabs.
  4. Click Clear All.
  5. Click Ok.
